Use Work Items
Handle daily work in the space's To-dos, Work Items, Tasks, and Outputs tabs. Each work item is an independent collaborative conversation where members can ask questions and @ Digital Workers or other members. Its context and outputs belong to that work item. IM channels and memory are maintained in Space Information.
Choose a type when creating a work item: Free Exploration provides an ongoing collaborative conversation for questions and @ mentions of Digital Workers or colleagues. Workflow suits a defined deliverable, with Digital Workers breaking down the plan and following a workflow. A free exploration work item can involve up to 5 Digital Workers.
Choose visibility when creating a free exploration work item. It determines who can see the item and its history, and what happens if the creator leaves the space through departure or removal:
| Visibility | Who Can See It | After the Creator Leaves |
|---|---|---|
| Private | Only me | Deleted directly |
| Collaborative | Members I invite | Enters the transfer process |
| Public | All space members | Enters the transfer process |
Workflow work items can be started, paused, resumed, and deleted. Free exploration work items can be deleted. Select multiple items for bulk operations. Pausing stops Digital Workers from advancing while retaining the conversation, outputs, and memory. Resuming continues from the paused position. Items being processed cannot be deleted.
Who can change an item: Only the creator can delete a free exploration work item or change its visibility, members, and Digital Workers. Any member who can see it can rename it. Making an existing free exploration work item private hides the item and its history from everyone except the creator.
Limits and archiving: A space can retain up to 100 active free exploration work items at once. Items are automatically archived after 90 consecutive days without new messages. Members and Digital Workers cannot be changed after archiving.
When Digital Workers respond: A message that @ mentions a regular member appears directly without triggering Digital Workers. Using @ to mention a specific Digital Worker or sending without @ mentioning anyone lets the Digital Worker team pick up the task and respond. Any space member can stop a running task, not just its initiator. Consider the impact before stopping someone else's task.
Use Workflow Templates
When creating a workflow work item, select one or more Workflow Templates, or leave the field empty. When specified, goal analysis and work planning select only from those templates. If left empty, the system analyzes which templates can be combined for the goal.
Manual Work Plan Review is enabled by default. After a plan is generated, the owner must confirm it before execution continues. When disabled, generated plans execute automatically, including regenerated plans. Keep it enabled if you want to review plans first. Choose Create and Schedule when ready to arrange execution.
Workflow work items can be Collaborative or Public. Collaborative visibility is limited to collaborators; public visibility includes space members. Collaborators have read-only access, and the owner can adjust the collaborator list.
The templates actually used in the plan and the node participants also affect access. Do not determine access solely from the templates selected at creation. Workflow execution Credit consumption belongs to its space (group).
Work items and IM groups select Digital Workers separately. Adding a Digital Worker to the space does not add it to existing work items; each item's configuration is independent.
