Approvals

The enterprise Knowledge Base isn't limited to admin contributions. When frontline employees find high-quality content in "My Resources" (meeting notes, customer cases, industry reports), they can click "Submit for Approval" to push it to the enterprise Knowledge Base—

  • When submitting: select target Knowledge Base + target category + write a submission description
  • Admins enter the approval list from the "Pending Approval List" entry, split into "Pending" and "Processed" tabs and displayed by No., Knowledge Name, Target Knowledge Base, Source, Submission Time, Submitter, and Status

  • "Approve" in a list row first opens the approval detail: you can read the knowledge content along with the target Knowledge Base, target category, submitter, and submission description, then click "Approve" or "Reject" (rejection reason required) on the detail page—so no one rules on content they haven't read

- Once approved, the content is ingested automatically; if you're already an admin of the target Knowledge Base it goes through as auto-approved—the knowledge item or directory is marked with an "Auto-Approved" tag

This pathway gradually accumulates frontline employees' implicit knowledge into the enterprise Knowledge Base, which is key to keeping the library fresh over time.

With heavy submission volume there's no need to click through one by one: select multiple records on the "Pending" tab and use "Batch Approve," up to 100 at a time, with each item landing in the target category its submitter chose. If some records fail (for example, a knowledge item with the same name already exists in the target category, or the target location is no longer valid), the system lists the success and failure counts plus the failure list, and those records can be retried after fixing the issue; successful items aren't rolled back because others failed.

Rejections still have to be handled one at a time with a rejection reason, and the submitter is notified.
